1. RESERVATIONS: Subject to availability your booking will be confirmed when we receive your Booking Form and a 25% deposit of the total tour cost. The balance of the full holiday price is due 42days prior to your holiday start date. If the balance is not received by the due date we reserve the right to cancel your booking and apply cancellation charges as in Paragraph 4 below. When bookings are made less than six weeks before the start of your holiday full payment must be made when booking. 
  2. PAYMENT OPTIONS:  We accept payment in Great British Pounds (GBP). When your tour availability is confirmed by email, your payment options will be as follows:
    • Secure online payment using our merchant service provider 'Worldpay' pay-by-link facility.
    • By telephone to the office with card details.
    • By direct bank transfer.
    • By FaceTime on i-phone or i-pad with card details.   
    Credit/debit cards (MasterCard, Visa, Amex) and international Maestro/debit payments are accepted.
  3. GROUP TOURS: a minimum number of eight persons one month before departure is required for group tours to proceed. Should cancellation be necessary full refunds will be given. We are not responsible for any other incurred expenses.
  4. CANCELLATIONS: must always be notified in writing and charges are calculated from the date of receipt as follows:
    • Up to 42 days prior to holiday date: - 25% of total cost
    • 21 to 41 days prior to holiday date: - 40% of total cost
    • 14 to 20 days prior to holiday date: - 60% of total cost
    • 1 to 13 days prior to holiday date: - 100% of total cost
  5. SECURITY:  In compliance with the Package Travel and Linked Travel Arrangements Regulations 2018 all payments to Scottish Cyling Holidays are held in an trust account operated by independent accountants. The payments are only released to Scottish Cycling Holidays after your holiday is completed thereby offering you complete protection in the unlikely event of our financial failure.
  6. TOUR ALTERATIONS BY YOU:  If you wish to change any part of your booking after confirmation has been issued by us, you must inform us in writing as soon as possible. This should be done by the first named person on the booking. Whilst we will do our best to assist, we cannot guarantee that we will be able to meet your requested change. All changes will be subject to payment of any costs and charges incurred by us and/or incurred or imposed by any of our suppliers in making this change . You should be aware that these costs could increase the closer to the departure date, therefore you should contact us as soon as possible. Where we are unable to assist you and you do not wish to proceed with the original booking we will treat this as a cancellation by you and cancellation fees will be payable in accordance with paragraph 4 above (Cancellations).
  7. TRANSFER OF BOOKING:  You can transfer a booking to another person, who satisfies all the conditions that apply to the booking, by the lead name giving us notice in writing as soon as possible and in any event no later than 7 days before your departure. Both the previous person in the booking and the person to whom the booking is being transferred to will be responsible for: 
    (a) full payment of the trip price; and
    (b) our charge for confirming the transfer; and
    (c) any other reasonable additional costs that we may incur arising from the transfer.
     In addition, the person(s) who the booking is being transferred to shall agree to these booking conditions and the Contract.
  8. AMENDMENTS OR CANCELLATIONS BY US: 
    (a)Occasionally we have to make changes to your booking and it is a term of your Contract with us that we are able to make changes to any aspect of your booking at any time. Most changes will be minor and will be advised at the earliest possible date. Minor/insignificant changes which would include change of accommodation to another of the same or higher standard. In the event of a minor change, we shall not be liable to pay you any compensation. 
    (b) If we are constrained by circumstances beyond our control to significantly alter any of the main characteristics of the travel services that make up your booking we will inform you as soon as reasonably possible, if there is time before your departure, and you will have the choice of (1) accepting the change or (2) accepting a suitable alternative where we are able to offer one (we will refund any price difference if the alternative is of a lower value) or (3) having a refund of all monies paid, if we are not able to offer an alternative that is sufficiently comparable. 
    Cancelling your booking
    (a) We reserve the right to cancel your booking, however, we will not cancel less than 42 days before your departure date, except for unavoidable and extraordinary circumstances, or failure by you to pay the final balance, or because the minimum number required for the booking to go ahead has not been reached. Unavoidable and extraordinary circumstances means a situation beyond our control, the consequences of which could not have been avoided even if all reasonable measures had been taken. 
    (b) If your booking is canceled (except in the case where you have failed to pay the balance by the due date) a refund of all monies paid will be made.
    (c) If we have to curtail your trip after you have departed due to unavoidable and extraordinary events, then we may make a partial refund of the cost of your booking to you, but only where we are able to obtain refunds from our third- party suppliers. In this event, we reserve the right to retain from any refund made to you an amount sufficient enough to cover the costs that we have incurred in relation to organizing and administering your trip.
    (d) Subject to paragraph 10 below (Insurance), you may be able to claim from your travel insurance where you have suffered loss and a refund is not available from us. 
  9. RESPONSIBILITY: Scottish Cycling Holidays does not accept responsibility for death, injury or illness of customers on our holidays. Scottish Cycling holidays does not accept responsibility for the state of roads, cyclepaths and trails on our trips. All routes are followed at the rider's own risk . Cyclists must ride in a responsible fashion. Holidays are booked with the understanding that all riders are physically fit and do not have any medical condition which may make physical activity dangerous for them. Cyclists use any transportation provided by Scottish Cycling Holidays at their own risk. Helmets are not compulsory in United Kingdom but we do strongly recommend their use. For the sake of comfort and hygiene, cyclists are requested to bring their own helmets. If you are using your own bike, it must be suitable for use for the duration of the route of your chosen holiday. Your bike must be insured for the duration of your holiday, and your insurance should cover loss or damage to your bike that may occur during your holiday. Scottish Cycling Holidays cannot accept any responsibility for any damage or loss of your bike during the holiday. This includes times when your bikes are being transported on one of our vehicle.
  10. PERSONAL INSURANCE: It is a condition of your Contract with us that you have adequate travel insurance that is effective from the date that you make your booking with us. Your insurance must fully cover you for all your personal requirements including, baggage, personal belongings, personal injury and thrid party liability while cycling, hired equipment including bicycles, any pre-existing medical conditions, medical expenses and the cost of repatriation should you become too ill to continue with your trip. In the event you do not have sufficient coverage for all of these elements you remain liable for any costs, including loss or damage to equipment such as hire bike. 
  11. FORCE MAJEURE: Scottish Cycling Holidays cannot accept responsibility for events outwith our control that may result in loss, damage or expense resulting from: war or terrorist activities, weather conditions, fire, flood or drought, epidemics and pandemics, government or political action, travel bans imposed by governments, airport closures, rescheduling of means of any transport, or any other eventuality which may delay or extend the holiday.
  12. BAGGAGE:  Please note that your belongings are your responsibility. We cannot accept any responsibility for loss, damage or accident involving property. Your travel insurance should cover this.
  13. COMPLAINTS: we will do our utmost to ensure you have an enjoyable holiday. If you have any problems please contact us immediately and we will do our best to resolve them. Any complaints should be notified to us as soon as reasonably practical and in any event notified to our office in writing within 28 days of the end of your holiday.
  14. While every care has been taken to ensure that the information in this website is correct, all information is subject to alteration without notice. Scottish Cycling Holidays accepts no liability for any inaccuracy in the information produced.
